Invite and manage team members
Invite staff with a secure link, pick their role, and change or remove access later.
Give each staff member their own NexusBot login so everyone can reply to customers from the same inbox, and you can see who replied to what.
Before you start
Invite a team member
- Open Team members. Go to Settings → Team members and click Invite member.
- Choose a role. Pick Admin, Agent or Viewer. Not sure? Start with Agent. See the roles table below.
- Choose how long the link works. Pick 1, 7 or 30 days. Shorter is safer.
- Add a label (optional). For example "Sara, support team", so you know who each link is for.
- Generate the link. Click Generate link.
- Share it. Click Copy and send it by email or chat, or click Send via WhatsApp.
One link is for one person. Create a separate link for each teammate.
What your teammate does
- Open the link. It works on a computer or phone.
- Sign up or sign in. New to NexusBot? Fill in the form and click Create account & join. Already have a login? Sign in instead. Continue with Google also works.
- Confirm their email (new accounts only). NexusBot sends a confirmation email. They click the link in it to finish joining.
- Start working. They land in your account with the role you chose and can see your Inbox, contacts and channels.
Roles
| Role | What they can do | Good for |

| Viewer | Read-only access across the app. Can't reply to customers or send Team Chat messages. | Auditors, trainees, bosses who just want to watch |
Pending invitations
Invites that haven't been used yet are listed under Pending invitations in Settings → Team members, with their role, label and expiry date.
- Revoke an invite you sent by mistake, or one whose link was shared with the wrong person. The link stops working straight away.
- An invite that passes its expiry date stops working on its own. Create a new one if the person still needs to join.
Change a role or remove someone
In Settings → Team members:
- Change a role: choose a new role from the member's row. It applies straight away.
- Remove a member: click Remove and confirm. They lose access immediately. Your chats, contacts and notes stay in your account.
Troubleshooting
| What you see | Why | Fix |

| A message says you've reached your team member limit | Your plan has no free seats | Remove someone you no longer need, or upgrade under Settings → Billing |
| Your teammate says the link doesn't work | It expired, was revoked or was already used | Create a new invite and send the new link |
