An automation is a rule: when something happens (the trigger), do these steps.

Start from a template

Go to Automations. Under Quick-start templates, pick one:

TemplateWhat it does
Welcome MessageGreets first-time contacts
Out of OfficeAuto-replies outside business hours
Lead QualifierAsks qualifying questions to filter new leads
Request AgentHands the customer to a team member when they ask for a human
Price Inquiry LeadCreates a deal when a customer mentions a price
Follow-up ReminderNudges a contact who hasn't replied in 24 hours

Edit the text to suit your business, then turn it on.

Build your own

  1. Click Create Automation and name it.
  2. Choose a trigger (see below).
  3. Add steps with Add step. Use Condition (If/Else) to do different things in different cases.
  4. Turn on Active and click Save. Or click Save Draft to finish later.

You can edit in Canvas view (a diagram) or Table view (a list).

Triggers

TriggerRuns when
New Message ReceivedAny message comes in

Conversation AssignedA chat is assigned to a teammate
Tag AddedA tag is added to a contact
Time-BasedOn a schedule, such as every weekday at 9am

For Keyword Match, choose how strictly to match: Whole word (recommended), Contains or Exact.

Steps

Send Message, Send Buttons, Send List, Send Template, Add Tag, Remove Tag, Assign Conversation (round-robin or a specific agent), Update Contact Field, Create Deal, Wait (minutes, hours or days), Condition (If/Else), Send Webhook and Close Conversation.

Turn a FAQ list into automations

Have a list of common questions? Click Import Q&A:

  1. Click Download template and open it in Excel.
  2. Fill in one row per question: Question, Keywords and Answer.
  3. Upload the file and check the preview.
  4. Click Import. Each row becomes its own keyword automation.

Imported automations are off by default so you can review them first. Tick Activate automations immediately to turn them on straight away.

Check it's working

The list shows how many times each automation has run and when it last ran. Click View Logs to see each run, which customer triggered it and every step it took.

From each automation's menu you can also Activate or Deactivate it, Duplicate it, or Delete it.
